How long we keep different categories of personal data and the principles that guide retention decisions.

1. Retention principles
Inspire Care Group keeps personal data only for as long as necessary for the purposes for which it was collected, including legal, regulatory, accounting, insurance, and care-quality requirements. When data is no longer needed it is securely deleted, anonymised, or archived according to our procedures.
2. Illustrative retention periods
The periods below are typical organisational practice and may be adjusted where a specific legal duty or claim requires otherwise:
- Website enquiries, callbacks, and visit bookings — retained while we respond and for a limited period afterwards for follow-up and quality assurance
- Event registrations — retained for the event lifecycle and a short period afterwards for administration
- Newsletter subscribers — retained while the subscription is active; suppressed or deleted after unsubscribe according to PECR/marketing practice
- Job applications (not hired) — approximately 365 days
- Successful applicants / employment records — longer retention, typically around 2555 days where employment and care-sector obligations apply
- Complaints and serious incidents — retained in line with regulatory, insurance, and limitation periods
- Cookie preference records stored in your browser — controlled by you; clearing site data removes them
3. How we decide retention
We consider:
- Statutory and regulatory requirements (including care regulation and employment law)
- The purpose of processing and whether it can be achieved with less data
- Limitation periods for potential claims
- Whether anonymised statistics can replace identifiable records
4. Your rights and further information
You may request erasure or restriction where the law allows. Sometimes we must keep data even if you ask us to delete it — for example where we need it to comply with a legal obligation or establish/defend a legal claim.
